Software and websites for trades and construction businesses

This sheet is for plumbers, electricians, air conditioning contractors, builders, civil contractors, landscapers and subcontractors. The day is a list of jobs at other people's addresses: quoted from the office, run from a phone in the van, invoiced when the paperwork catches up, held together by a job management subscription and Xero or MYOB. What software does a trades or construction business already run?

Most trades businesses run a job management subscription for quotes, scheduling and invoices, with Xero or MYOB for the books; builders add estimating and project software. Each does its job well; most connect to the accounting file. The gaps sit between them: the estimate re-keyed as a job, supplier invoices matched by hand, site photos left in a camera roll, customers ringing to ask where their job is up to, and the margin report built in a spreadsheet.

ServiceM8 and Tradify

Job management for small trades crews: job cards, the diary, quotes and invoices done from a phone, with a link to Xero or MYOB. Each models a job one way. A quoting or scheduling flow that works differently, or a connection to software they do not list, sits outside them.

simPRO and AroFlo

Job management for larger electrical, plumbing, air conditioning and fire contractors: catalogue quoting, scheduling, purchase orders, timesheets, project and maintenance jobs, invoicing, and an accounting link. Both expose an API. Reporting that joins their data with your other systems, and a customer-facing screen that follows your own process, are what gets built around them.

Buildxact

Estimating and job management for residential builders and trades: take-offs from plans, estimates priced from supplier lists, schedules, purchase orders and invoices, with a link to Xero or MYOB. It models the residential estimate-to-invoice path; a client-facing build tracker in your own shape, or figures joined with a separate job or accounting system, are built around it.

Procore

Project management for commercial builders and larger contractors: drawings, RFIs, submittals, daily logs, budgets and subcontractor management on one platform, with an API and accounting connectors. It runs the project; the estimating, field service and accounting systems either side of it are separate, and the data passing between them is where an integration earns its place.

Xero and MYOB

The books: invoices, bills, payments, payroll and BAS. Nearly every trades tool posts to one of them, and both have APIs. They record what happened; they do not run the job, and the report that puts hours, materials and invoices side by side has to be built somewhere else.

Deputy

Rostering and timesheets: shifts, clock-on from a phone, pay rules applied to the hours, and hours pushed to Xero or MYOB payroll. It knows who worked when; it does not know which job they were on, so hours against jobs are keyed a second time unless the two are connected.

Supplier trade portals and price lists

Plumbing and electrical wholesalers issue a trade account, an online ordering portal and a price file, and email a PDF invoice per delivery. The price list has to reach your quoting tool and each supplier invoice has to be matched to a job and to the accounting file, both usually by hand.

Spreadsheets, the whiteboard and the shared drive

Where everything the other seven do not cover ends up: the tender register, the margin report, the WIP figure for the accountant, the safety forms, the photos from site. Fine until two people need the same figure and get different answers, which is the point at which a data platform or an internal tool is built.

Made-to-order items get a configurator that quotes from your own price rules.

Data platforms

One place the job system, Xero or MYOB, timesheets and supplier invoices agree: margin by job and by crew, hours quoted against hours worked, work done but not invoiced, retentions and claims outstanding, next month's load. Read on a screen in the office, or sent as a report on Monday morning.

Questions before you call

RFI-01How much does custom software cost for a trades or construction business?

One fixed quote, set in writing before the build and staged against milestones. The scope that sets it — a website, a job system, a customer portal, a report, an integration — is agreed at the specification stage, and you can stop at any milestone and keep a working system.

RFI-02Do we have to replace simPRO, ServiceM8, AroFlo or Buildxact?

No. If it runs your jobs, keep it. The build sits beside the job system and the accounting file, not in place of them: the estimate, the hours and the supplier invoice are taken from where they are already entered and put where they are needed next, so nothing is keyed twice.

RFI-03Who owns the software when the build is finished?

You do. The source code is delivered and the IP assigned to you at handover, so the system stays yours whoever maintains it later.

RFI-04Will it work on the phones our crews carry on site?

Yes. Field screens are built for the phone or tablet in the van: today's jobs, the site details, checklists, photos, a signature, hours and materials, synced back to the office.
