Privacy policy

This policy explains what personal information SEYYED PTY LTD, trading as Ozwebnet ("we", "us"), collects through ozwebnet.com and the Insights journal at ozwebnet.com/insights, why we collect it, who we share it with, and how you can ask about it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

The short version

The main site sets no cookies and runs no analytics, advertising or tracking scripts. Every figure it shows about itself is measured in your own browser and never sent to us.
Apart from routine server logs, the only personal information we receive through this site is what you choose to send us: an email, or a subscription to the Insights journal.
Our own web server keeps ordinary access logs, and Cloudflare, the network service that sits in front of it, keeps its own. Both include IP addresses.
We do not sell personal information, and we do not use it for marketing you did not ask for.

What we collect, and when

When you email us

If you email [email protected], or use the brief builder on the contact page (which only composes an email in your own mail app), we receive whatever you send: usually your name, email address, business name and what you tell us about your project. We keep that correspondence for as long as we need it to answer you, quote and deliver a project, and meet our legal and accounting obligations.

When you subscribe to Insights

The Insights journal runs on Ghost, self-hosted by us. If you subscribe, Ghost stores the email address you give it and, if you provide one, your name, together with your subscription preferences. Ghost also records whether you open each email and which links in it you click — it does this with a small tracking image and tagged links — so we can see which posts readers find useful. Ghost cannot switch this off for one subscriber, so if you would rather not be counted, read the journal on the website instead of by email, or ask us and we will remove your subscription. When you subscribe, Ghost also looks up the approximate location (country and region) of your IP address through GeoJS, an external geolocation service, and stores it with your subscription, and it records the page and referrer that led you to subscribe; to do that it keeps a short list of the journal pages you visited in your browser's local storage. You can unsubscribe from any email, or by writing to us.

Server and network logs

ozwebnet.com is served from a web server that we run ourselves, behind Cloudflare, Inc., a network service that carries every request to and from that server and protects it. Both record the IP address, browser type, requested page and time of each request in standard logs used to keep the site running, secure and available. We keep our own access logs only as long as they are needed to operate and secure the site, and then delete them; Cloudflare keeps its logs for the period set out in its privacy policy. We do not combine these logs with any other information to identify you.

When we work with you

During a project we may handle personal information that belongs to your business or its customers — for example when building or migrating a system that stores customer records. We handle that information only on your instructions and only for the purpose of the project; we do not use it for our own purposes, we protect it as we would our own, and when the project ends we return or delete our copies unless you ask us to keep them. Your own privacy obligations to your customers remain yours, and we will help you meet them in the systems we build.

What we do not collect

No cookies are set by the main site. It stores one value ("ozw-warm") in your browser's session storage so the loading sequence plays only once per visit; that value is not personal information, is never sent anywhere, and is discarded by your browser when you close the tab or window.
No analytics, advertising, social-media or tracking scripts run on the main site, and it makes no request to any other company's domain; the whole site reaches you through Cloudflare, described under Server and network logs. If Cloudflare has to challenge a request it suspects is automated, it may set a cookie of its own for that purpose; we do not use that cookie and it is not set in ordinary browsing.
No forms on the main site send data to us: the contact page composes an email that you send from your own mail app.

How we use personal information

We use the information you give us to answer your enquiry, scope and quote a project, deliver the work, invoice and keep the records the law requires, and — if you subscribed — send you the Insights journal. We use logs to operate and secure the site. We do not use personal information for direct marketing unless you have asked for it, and every marketing email carries a way to unsubscribe.

We do not sell, rent or trade personal information. We share it only with the providers that make the site and our work possible, and only as far as they need it:

Cloudflare, Inc. (United States), which carries traffic to and from our server, protects it from attack and keeps its own request logs;
our email provider, through which we send and receive correspondence;
Mailgun (Sinch Mailgun, Inc., United States), the delivery service Ghost uses to send the Insights journal and its sign-in emails, which receives the email address and name of each subscriber and records delivery and bounces;
GeoJS, the geolocation service Ghost uses to look up the approximate location of a new subscriber's IP address;
professional advisers such as accountants, and anyone the law requires us to disclose to.

Overseas disclosure

Cloudflare, our email provider, Mailgun and GeoJS operate infrastructure outside Australia, so requests to the site and email we send or receive may pass through, or be stored in, other countries — chiefly the United States. Before we use an overseas provider we check that its published terms commit it to protecting personal information in ways consistent with the Australian Privacy Principles, and where a provider offers an Australian or nearby region we choose it. Our own server, which holds correspondence and the journal's subscriber list, is in Australia.

The Insights journal

Pages under ozwebnet.com/insights are served by Ghost. Reading them requires no account. Unlike the main site, journal pages load two small scripts — Ghost's subscribe widget and its search box — from jsDelivr, a public content delivery network, and may load images from Ghost's own servers; those providers receive your IP address when they serve the files. Nothing else on the journal loads from another company's servers, and journal pages reach you through Cloudflare, as described under Server and network logs. Ghost may set cookies needed to keep a subscriber signed in and to remember your preferences; it sets them only when you use those features. Journal emails and sign-in links are sent through Mailgun, described above.

Every journal email tells you who sent it and carries an unsubscribe link that works at once. If you ask us by email instead, we will remove you within five business days, as the Spam Act 2003 (Cth) requires. We only ever send the journal to people who subscribed to it themselves; we never add people who emailed us about a project.

Storage and security

Correspondence lives in our email system; subscriber details live in the Ghost database on servers we control. Both are protected by access controls and encryption in transit. We keep enquiry emails that do not lead to a project only as long as the enquiry is live; quotes, invoices and project correspondence for seven years after the project ends, as company and tax law require; and subscriber details until you unsubscribe, after which we delete your subscription record. If we learn that personal information we hold has been lost, or accessed or disclosed without authority, in a way likely to cause serious harm to anyone, we will tell the people affected as soon as practicable and, where the Privacy Act requires it, the Office of the Australian Information Commissioner.

Access, correction and complaints

You may ask us what personal information we hold about you and ask us to correct it, by emailing [email protected]. You may also ask us to delete it, and we will, unless we need to keep it — for example quotes, invoices and the correspondence behind them, which the law requires us to keep for up to seven years — in which case we will tell you what we are keeping and why. We will respond within thirty days. We may first ask you to confirm you are the person concerned, usually by replying from the email address we hold. We do not charge for access or correction. If we cannot give you access or make a correction, we will tell you why in writing and how to complain about that decision. If we correct information we have already passed to one of the providers listed above, we will ask them to correct it too if you want us to.

Complaints. If you think we have mishandled your personal information, email [email protected] with "Privacy complaint" in the subject line. We will acknowledge your complaint within seven days, look into it, and give you a written answer within thirty days saying what we found and what we will do about it. If you are not satisfied with our answer, you may take the matter to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy when the site or our services change. The effective date at the top of the page is the date of the current version. Material changes will be noted on this page.
