PLATE P.4.2 — JOB MANAGEMENT SYSTEMS

Custom job management system for trade and service businesses

A job management system runs a job from the first quote to the paid invoice: the quote, the booking, who goes on site and when, what was done, what it cost. It is for trades and service businesses that live on jobs — electrical, plumbing, air conditioning, building, maintenance and cleaning. Ozwebnet writes them from scratch in Adelaide for businesses across Australia, for one fixed quote staged against milestones, and hands over the source code with the IP assigned to you.

GENERAL NOTES 02 / 07

What is a job management system?

One system that holds every job your business does, from the quote that won it to the invoice that closed it. A job is booked, given a date and a crew, and sent to the tradesperson's phone with the site, the scope and the customer's details; it is updated from site with photos, hours and materials, and the invoice is raised from what was actually done. The office sees every job on one board. The field sees today's list on a phone.

SECTION A–A 03 / 07

Who should build a custom job management system?

BUILT FOR
Trades and service businesses with crews in the field and an office booking the work — electricians, plumbers, air conditioning, builders, landscapers, cleaners, maintenance contractors — anyone whose day is a list of jobs at other people's addresses.
REPLACES
A whiteboard and a diary for the schedule, quotes typed in Word, job sheets on paper, and a subscription such as simPRO, ServiceM8, Tradify or AroFlo that fits most of your process but not all of it.
NOT FOR
A small crew whose jobs fit ServiceM8, Tradify or simPRO as they come out of the box, with nothing to connect and nothing to bend — a subscription is the right buy there, and we will say so.
SCHEDULE OF WORKS 04 / 07

What is included in a job management system build?

01

Customer and site records

A record for each customer and each site, with every quote, job and invoice against it, so the next call starts with the history already in front of you.

02

Quoting and job costing

Quotes built from your own price list and labour rates, sent to the customer, and turned into a job on acceptance with the priced scope carried across.

03

Scheduling and dispatch

A board of every job by day and by crew, with drag-to-reschedule, recurring maintenance visits, and each tradesperson's run for the day sent to their phone.

04

The field app for the person on site

The address, the scope, the customer's notes, a checklist, photos, a signature, hours and materials, captured on a phone or tablet on site and synced back to the office.

05

Invoicing from the job record

The invoice raised from what the job record says was done — labour, materials, variations — with progress claims for longer jobs and a record of what has been paid.

06

Xero or MYOB connection

Invoices, payments and customer contacts pass between the system and Xero or MYOB, so the books match the jobs without anyone typing them twice.

07

Reports on jobs, hours and margin

Job margin, hours quoted against hours worked, work done but not yet invoiced, and who is booked where next, read straight from the job records.

TYPICAL SCOPE FOR THIS KIND OF SYSTEM — YOUR EXACT SCOPE IS FIXED IN WRITING AT THE SPECIFICATION STAGE.

STAGES 05 / 07

How is a job management system built and priced?

One fixed quote, set in writing at the specification stage (02 Blueprint) and staged against the five milestones below. Each milestone ends with a working system; stop at any milestone and keep what has been built.

SEE THE FIVE STAGES ANIMATED
  1. 01 SURVEY

    Discovery

We follow one job through your business as it runs now, from the first phone call to the paid invoice, and note every whiteboard, diary and paper job sheet along the way.

  2. 02 BLUEPRINT

    Specification

The job record, the quote-to-invoice flow, the schedule and the field screens are specified in writing; the fixed quote is set here, staged against milestones.

  3. 03 FORGE

    Build

Built in the order a job runs — quoting, scheduling, the field app, invoicing — and each milestone ends with a part your office and crews can use on live jobs.

  4. 04 TEMPER

    Testing

Tried on your real jobs, by the office on the board and by the crews on the phones they carry, and tested before launch.

  5. 05 DEPLOY

    Launch

Your customers, sites and open jobs are brought across, the system goes live, and you receive the source code with the IP assigned to you.

Questions before you call

RFI-01How much does a custom job management system cost?

One fixed quote, set in writing before the build and staged against milestones. The scope that sets it — quoting, scheduling, the field app, invoicing, the accounting connection — is agreed at the specification stage, and you can stop at any milestone and keep a working system.

RFI-02Why build one instead of subscribing to simPRO, ServiceM8 or Tradify?

If one of them fits how you work, use it, and we will say so. A custom build is for a business whose quoting, scheduling or invoicing works differently from what those products assume, or that must connect to systems they do not. The result is yours: source code delivered, IP assigned to you.

RFI-03Does it work on the phones our crews carry?

Yes. The field screens are built for the phone or tablet in the van: the day's jobs, the site details, a checklist, photos, a signature, and the hours and materials, captured on site and synced back to the office.

RFI-04Will it connect to Xero or MYOB?

Yes. Invoices, payments and customer contacts pass between the system and Xero or MYOB, so the books match the jobs without anyone typing them twice.

RFI-05We are not in Adelaide — can you still build our job management system?

Yes, Australia-wide. Adelaide first, remote-capable: discovery and every milestone review can run over a call, and the field screens are tested on the phones your crews carry wherever they are.
